We are seeking a full time Executive Assistant to support the Engineering Director of Shazam and their team

This position is a maternity cover contract for up to 12 months.

* Ability to work both autonomously on assignments and collaboratively with other admins.
* Ability to handle sensitive and confidential information with integrity, discretion and upmost secrecy.
* Experience booking complex domestic and international travel itineraries
* Excellent written and verbal interpersonal skills and strong sense of professionalism.
* A “can-do attitude” with an upbeat spirit of passion, energy, and enthusiasm; enjoys problem solving creatively in order to complete assignments.
* Highly organised with good attention to detail. Ability to multitask under pressure and prioritise.

You will be the EA to the Engineering Director of Shazam while supporting their team and being a larger part of the EA support team for the group. This role supports all administrative and practical aspects of the engineering site and involves some work in different time zones - teams in the UK and the US (East and West Coast).

Daily activities will include challenging calendar management (including coordination of complex meetings with multiple executives and locations), coordinating meetings and video/conference calls while actively utilising your keen problem solving abilities as challenges arise.

The role include scheduling travel and arranging for team off sites and events will be a regular task while working closely with other admins and teams to co-ordinate meetings or collaborating on a lively team events will be commonplace.

You will handle accounting tasks like ordering equipment, raising purchase orders, filing and approving expenses, processing credit card purchases and balancing monthly.

Working with the broader team, you will contribute to a fun and creative approach to team needs and activities and be a champion for team morale.

You will be a key site contact, work with facilities, building receptionists and other site staff to ensure the office is well-maintained and runs efficiently every day. You will also be responsible for end-to-end management of departmental hardware.

This role will be based in London, where our engineering teams are based. However given the global pandemic you may be required to work remotely for some of the time.
