Information on the company

Our client is a creative tech company based in Richmond specialising in UX, prototyping & problem solving.

Day-to-day activities will include;

Project Administration Support:

* Research, book, process payments and amend (if and when needed) flights and hotels for all events

* Check in all team members who are flying and ensure they have the correct baggage allowance

* Research (public transport, airport parking, taxis etc), book, process payments and amend (if and when needed) transfers for all team members attending each event

* Create and communicate all job sheets in good time of the event

* Book couriers

* Create all Purchase Orders (PO) for people, flights, hotels, hardware, software etc

* Liaise with finance on any petty cash needed for the Project Manager’s for all events

* Suggest better ways of working & communication

* Being proactive in getting the best price for all of the above

General Administration:

* Receive weekly time-sheets (in paper form and digital) from all Contractors and chase when need be

* Compare all time-sheets with the approved quote and PO – if correct, input hours into Pegasus (Finance Management system) and if not correct, speak to Contractor/Ops Director

* File all time-sheets onto the server

* Ensure all contact details for Contractors and Suppliers are up to date

* Research, book, process payments and amend (if and when needed) additional non-company owned vehicies, Eurotunnel, Ferry & pre-pay Tolls for all events

* Create PO’s for additional purchases needed for each job and then approve/query the invoice

* Work closely with accounts on day to day matters including expenses, credit card purchases, invoices etc

* Update the calendar with all Contractors working dates

* Manage the suite of vehicles – booking in and out, MOT, Tax, Service etc

* Maintain the stock list

* Assisting the Ops Director with rental / dry hire quotations

Sales Team Support:

* Ensure all contact details for Contractors and Suppliers are up to date

* Compare all invoices with the approved quote and PO – if correct, input hours into Pegasus and if not correct, speak to contractor/Ops Director

* Create PO’s for additional purchases and approve the invoice

* Work closely with accounts on day to day matters including expenses, credit card purchases etc

* Ensure all agreements/contracts with Contractors and Suppliers are up to date

* Updating the calendar with all contractors working dates

* Proof reading

* Ad hoc requests from the Team

* Confident with prioritise multiple work loads
