Facebook is seeking an experienced Executive Assistant to support 2-3 Directors in our Workplace, Sales and Partnerships team, reporting to the VP of Workplace. The ideal candidate will need to be a masterful problem-solver and an organizational expert given the complex calendar management and heavy travel planning involved. We’re looking for an efficient, self-starter with an ability to operate effectively in a fast paced, ever-changing environment. This role will also act as a cultural ambassador who can help support the wider organisation in London, and support co-operation between many cross-functional teams and external partners in multiple global locations. Additionally, the ideal candidate will have exceptional communication skills, and will be resourceful in building relationships across the larger Facebook ecosystem. This role is a full time position based in London.

Responsibilities

*
Organising and maintaining busy calendars, scheduling internal and external appointments for senior leaders

*
Communicating with internal and external partners, while exhibiting the highest degree of professionalism, courtesy and diplomacy

*
Managing expenses and arranging complex travel itineraries

*
Organising cross-team communications, including coordinating with team members on development of regular reports for internal publication

*
Organisation and logistical management of cross-functional events

*
Welcoming and looking after itineraries for visiting senior executives

*
Liaising with internal/external comms teams as well as event organisers for speaking engagements

*
Organising team swag and planning offsite events

*
Special or other ad-hoc projects as required.

Minimum Qualifications

*
At least 5+ years of full-time administrative experience supporting Executive members

*
Experience of working with cross-functional and global teams with proven ability to support multiple managers and their priorities

*
Exceptional communication and diplomacy skills

*
Excellent knowledge of current IT systems - particularly Outlook, Concur

*
Exceptional planning, organisational and time-management skills

*
Ability to work under pressure on own initiative and to tight deadline

*
Flexibility and adaptability to juggle a range of different tasks

*
High-level of attention to detail and accuracy

*
Strong team building skills

*
Must be a self-starter and adaptable to a dynamic environment

*
Must be able to handle confidential information discretely

*
Fluency in English required, other languages highly regarded.
