Job Title: Buying Assistant

Salary: £20,000 - £22,000 per annum depending on experience

Location: London Office

Job Type: Full Time, Permanent

Holiday Entitlement: 25 days plus bank holidays

Purpose

To provide full administrative support to the Buying team

Main Duties

The job role of the Buying Assistant is to provide essential support to the Head of Buying.

Reporting to the Head of Buying, this is a role which will grow and develop with the Company. You will be working in a small team and the successful candidate will be a quick learner who is flexible, adaptable and able to work in a highly stressful environment. The successful candidate will also have the ability to prioritise and manage a busy workload and meet tight deadlines. You need to be time conscious and it would be advantageous to have a good understanding of retail/wholesaling and the challenges around the industry.

Ad hoc duties are also an essential daily part of the Buying Assistant job role.

Main Duties:

  1. Be 1st point of contact for all suppliers
  2. Communication with suppliers about activities, costs, product etc.
  3. Management of new line forms
  4. Creating and maintaining all project critical paths
  5. Event support including communication with suppliers and sponsors
  6. Management of samples
  7. Preparation and management of all relevant trackers
  8. Building reports on Excel when required
  9. Take appropriate notes and actions in meetings and circulate accordingly
  10. Management of new supplier forms
  11. Create, maintain and manage all required processes
  12. Dealing with telephone queries regarding supplier, products and/or any other buying queries
  13. Create meeting packs for buying meetings
  14. Management of Buying filing system online and off
  15. Handling and tracking supplier queries
  16. Management of online back office website including;
    1. Setting up products/suppliers
    2. Amending pricing
  17. Taking customer orders through online system on occasion
  18. Management and prioritising of incoming supplier e-mails and phone calls
  19. Administrative and secretarial support to the management team including;
    1. preparation of board reports
    2. organising travel arrangements and itineraries
    3. scheduling of meetings and outlook diary management
  20. Management of company Buying activity plan
  21. Supplier Liaison regarding ads placed in internal publication
  22. Attendance and support will occasionally be required at events which may require an overnight stay
  23. Holiday cover to other department Assistants

Skills required:

  1. Good written and spoken communication skills
  2. Excellent organisational and customer/supplier service skills
  3. Database management skills, particularly an extensive knowledge on excel, word and PowerPoint.
  4. Supplier and customer query handling experience
  5. Ability to communicate clearly, concisely, and accurately both verbally and in writing, internally and externally
  6. Meticulous and methodical approach to work
  7. Enjoy working as part of a team
  8. Have worked previously in a retail store / have a good understanding of retail management
  9. The ability to learn quickly
  10. Exceptional organisational skills
  11. Accuracy and attention to detail
  12. Be able to work to tight deadlines
  13. Be able to prioritise
  14. Ability to work under pressure
  15. A flexible and adaptable approach to work
  16. The ability to work on your own initiative
  17. Tact and discretion, for dealing with confidential information

Working hours:

Full time role - Monday - Friday 09.00 to 18.00 with 60 min lunch or to the needs of the business. There will be occasions when there is a requirement to work late due to deadlines

  • Concatenate
  • Filtering
  • Totals/Sum
  • Find and Replace
  • Right
  • Pivot tables
  • Graphs
  • Ability to tidy and finish reports with Borders and Headings
